Simple letter:




The simple letter manufacturing process is similar to that used by TrustLetter. This is a new form of letter having the same properties as a registered letter, without acknowledgement of receipt.

TrustMission deals with the forming of the mail: printing of the letter, envelope filling, stamping and handover to transporter.





For each transmission, TrustMission files the content, deals with information from production, the reception of the acknowledgement receipts, their digitizing, the creation of a life certificate containing all the items pertaining to the transmission and finally, the provision of this information to the private electronic desk of the sender (cf. § Transmission follow-up).

The simple letter can be used alone or combined with other supports (SMS, Email, CareBox…) to improve the efficiency and impact of the messages sent.

• Printing

The TrustMission production platform prints through several automatic printing production lines, on white paper or personalized headed paper, supplied by the customer or by TrustMission. Sophisticated printing technologies and the automation of the processes contribute to eliminating any risks of error. In addition, the printers used by TrustMission are modular and open-ended, constantly able to adapt the production capacities to the constant changing activities of our customers.

 
• Envelope filling

Once the documents are printed the processes of insertion and envelope filling are activated. For folding and for envelope filling, the TrustMission platform uses several production machines capable of managing C4, C5 and C6 envelopes, inserting up to 50 sheets per envelope, carrying out up to 72 insertions per minute then 4 inserts per envelope (CD Rom, pamphlets, prepaid letters …).

These machines are flexible and capable of handling several formats and thicknesses of paper. Barcode and/or OMR reading modules are implemented to ensure the traceability of the produced documents.

 
• Stamping

The TrustMission platform incorporates a high-performance inkjet stamping terminal. It is capable of stamping up to 200 envelopes per minute and of accepting every possible size.

This machine is an integrated post management center capable of calculating the stamping amount independently as a function of the thickness, weight and service.

 
• Routing
TrustMission deals with the entire logistical preparation of the mail produced and facilitates the handover to the national carrier, the Post Office.

Sorting according to the destination is carried out at TrustMission. The Post Office itself collects the sealed bags twice each day, at 12 p.m. and 6 p.m.

Request for transmissions received at the TrustMission center before 10 a.m. are handed over to the transporter the same day.

Registered Letter:




In the professional world, many laws and regulations make it obligatory to use registered letters. Being able to manage recommended transmissions calls for know-how that often has nothing to do with traditional company business. With the advent of the Internet technologies, exchange management has been modified considerably and prompted TrustMission at the beginning of the year 2002 be the first to offer a hybrid registered letter service, on an electronic source subsequently materialized on paper.

The industrial processing chain set up by TrustMission makes it possible to automate the forming of registered letters, dealing with transmissions to a single or multiple destinations: printing, enveloping, management of reading folder, stamping work and handover to transporter.

• Printing

• "Read" folder

Read folders can be printed out on our printing production lines. The TrustMission platform deals with all the RB folders (without ACK) and the Registered folders (with ACK).

Automatic comparison is carried out between the content of the mail, the envelope and the "Read" folder.


• Envelope filling

Digital letter:




InIn ASP mode, TrustMission offers a secure end-to-end electronic document delivery service. These documents are in all types of formats: Word, Excel, PowerPoint, XML, PDF, etc. This service uses a technology known as CareBox which guarantees the conformity of the documents by symmetrically depositing the data in two separate work spaces reserved for the sender and the recipient. Dematerialisation with CareBox is the alternative solution to traditional or hybrid mail. Access to Electronic Private Offices requires an electronic signature as a strong authentication mode or can be obtained by means of an identifier and password in downgraded mode.

These Electronic Private Offices enable instantaneous consultation by the sender and the recipient of the documents sent to the TrustMission secure server in PDF or XML format. Comparison between incoming and outgoing mail (matching) enables the constitution and follow-up of the files. The classification of the transactions (backing up between several contractual operations) enables preservation of the exact sequence of the correspondence with proof of sealing, time-stamping and sending on physical and electronic supports (see Organised management mail).


Digital letter in 8 steps:r>
Beforehand, the user:
Drafts the document on his word processor.
Enciphers the documents (using the public key of the recipient).
If necessary uses his private key to sign the document.
Authenticates himself and connects to the Posteasy S.A. server using the HTTPS server (necessary information: Identity of the recipient (e-mail address, identity of sender, e-mail address), then transfer of the document via a ciphered connection to the TrustMission platform.

On the TrustMission platform of TrustMission:

The document is time-dated as soon as it is received at the platform then deposited as a double in the electronic boxes specific to the sender and recipient.
The recipient is advised that he has received a document in his mailbox by e-mail. The e-mail contains an URL which, when called, asks the recipient to authenticate himself.
The recipient connects to TrustMission using HTTPS, authenticates himself using his electronic certificate then downloads the document. He verifies the sender\'s certificate and the integrity of the message.
An acknowledgement of receipt is sent to the sender.

All the information and events are time-dated and logged by TrustMission, Trusted Third Party. At the end of the process commending sender therefore has:

Proof of his time-dated deposit
The time-dated acknowledgement of receipt
A guarantee that the recipient initially provided for received the document in the case of an electronic certificate being used
An electronic filing area that can be access 24 h/24, 7 days a week, from anywhere in the world
A legal proof waranty by a Trusted Third Party

CareBox technology derives from non-propriatory and inter-operable technologies. Connectors from our partner, StreamServe, enable the sender to directly format the data extracted from his information system to the format designed by the recipients for their automatic integration into the application. This avoids mutual reworking which can cause errors to occur. The electronic letter can be used alone or combined with other supports to improve the efficiency and impact of the messages sent.

Dematerialized transaction:




The digital letter service coupled with the electronic safe service published by Cecurity.com (www.cecurity.com) gives documents a probatory value. This service deposits data symmetrically in the workspace of the sender and the recipient, thus ensuring the integrity of the transmission. The parties can centralise their management documents in their Electronic Private Office and have an electronic safe to archive the most sensitive documents together with the proof associated with them.





The source and destination of the correspondence are either individuals or management applications in companies (E.R.P., C.R.M., S.C.M., etc.) for greater automation of tasks. The data are prepared in collaborative mode by several employees on a standard electronic form complying strictly with the internal security procedures. This "Enterprise Resource Mailing" (E.R.M.) service incorporates data conversion and document composition functions published by StreamServe (www.streamserve.com).

The tools available to the sender enable the preparation, validation and remote signing of his documents in accordance with his internal security procedures. In reception, depending on the rights assigned to the recipients, they can read, acknowledge receipt or download the documents.

In parallel, TrustMission makes every effort to guarantee the legal proof of the correspondence by recording the traceability of the whole correspondence chain. For each item of correspondence, the levels of traceability and computer and legal security are defined in accordance with the real needs of the customers.

To ensure perfect dematerialized correspondence, an exchange and proof agreement must be signed between the parties which stipulates the name of he operator guaranteeing security and confidence in the transaction. In this way, the operator becomes the legal depository of the operations constituting a mail correspondence.

In addition, the exchange and proof agreement serves to organise the mail or transaction correspondence by defining rules in order to simplify management, reduce costs and risks and avoid disputes involving proceedings in the law courts.

An example of a dematerialized transaction is the sending of secure electronic invoices by means of an electronic signature (cf. § Electronic invoice). This service requires the parties to sign an exchange and proof agreement. T.M. carries out the recording and legal depositing of the invoices in the electronic safes reserved for the sender and the recipient during the tax administration adjustment period (the period of time during which the tax administration can correct errors in the taxpayer\'s declaration and make adjustments).

In addition to the advantages of the Digital letter, the advantages of dematerialized transactions are:
